For a small business, Claude Code works best as an operations assistant: it turns call notes into quotes, sorts invoices into a spreadsheet, drafts inbox replies, explains contracts and builds a weekly cash report from the files and accounts you give it. You stay the approver for anything that leaves the business, like money, emails and signatures. This guide covers what to hand over first, how to set it up safely, and a 30-day plan to get there.

What Claude Code can and cannot do for an owner

The split is simple: Claude Code prepares the work, and you make the decisions.

Hand it overKeep for yourself
Drafting quotes and proposals from your price listFinal prices, discounts and signing
Pulling invoice and receipt data into a spreadsheetPaying anyone or moving money
Sorting your inbox and drafting repliesSending sensitive replies and anything legal
Explaining contracts and spotting missing clausesLegal advice and decisions
Building a weekly report from your exportsJudging what the numbers mean for the business

Claude Code comes with paid Claude plans, so the cost is your plan rather than a separate tool. These were the individual prices on Anthropic's pricing page in October 2026:

$20

a month for Pro, billed monthly

$17

a month for Pro, billed annually

$100

a month and up for Max, for heavier use

For every plan and what fits which kind of owner, see the Claude Code pricing guide. To get it on your computer, follow how to install Claude Code.

Set up an operations folder

Claude Code works inside one folder at a time, called the project. Give it a folder that holds only business operations, never your whole computer:

text
operations/
  CLAUDE.md
  pricing/ price-list.md, terms.md
  templates/ quote.md, replies.md
  clients/ one folder per client
inbox/ files waiting to be processed
  documents/
  reports/

Then write a short CLAUDE.md, the file Claude Code reads at the start of every session. Keep it to facts and rules:

markdown
# Operations
- Business: [NAME], [WHAT WE SELL], based in [CITY].
- Prices come only from pricing/price-list.md. If an item is missing, flag it instead of pricing it.
- Payment terms: see pricing/terms.md.
- Tone with clients: friendly, short, no jargon.
- Never send an email. Create drafts only.
- Ask before moving, renaming or deleting any file.

For more on what belongs in this file, read how to write a CLAUDE.md file.

Five jobs to hand over first

Each job below has a prompt to copy and an owner check, the one thing you verify before trusting the result. Replace the [BRACKETS] with your own details.

1. Quotes from a call note

A quote is the clearest first win: the inputs are on your desk, and you can check every line.

How a quote moves from call to client
  1. Call note

You save rough notes in the client's folder

  2. Draft

Claude prices items from your price list only

  3. Review

You check prices, totals and anything flagged

  4. Send

    You send it yourself

Draft a quote
Read @clients/[CLIENT]/call-notes.md and @pricing/price-list.md.
Draft a quote using @templates/quote.md: line items, quantities, prices from the price list only, subtotal, tax at [TAX RATE], total, valid for [NUMBER] days, and our payment terms from @pricing/terms.md.
If the call mentions something that is not in the price list, list it separately instead of pricing it.
Save as clients/[CLIENT]/quote-draft.md.

Owner check: every price traces back to the price list, the totals add up, and unlisted items are flagged rather than invented.

2. Invoices and receipts into a spreadsheet

Drop the month's supplier invoices into inbox/ and ask for one row per invoice. Claude Code reads PDF files directly.

Log this month's invoices
Read every PDF in @inbox/ and add one row per invoice to reports/expenses-[MONTH].csv: date, supplier, invoice number, amount before tax, tax, total, currency, file name.
If a value is unclear, leave the cell empty and list the file name at the end instead of guessing.

Owner check: pick three rows and compare them with the PDFs. For the full version, including pulling invoices straight from email and sending them to your accountant, see how to automate invoices with AI.

3. Inbox triage and reply drafts

Google makes an official Gmail connector in Anthropic's directory, with tools to search threads and create drafts; our Gmail MCP entry has the details. Connect it at claude.ai under Customize > Connectors, and it appears in Claude Code when you sign in with the same Claude account. For other tools, check the ai school MCP directory.

Morning inbox triage
Search my inbox for customer emails from the last 3 days that I haven't replied to.
Sort them into: needs a quote, support question, invoice or payment, other.
For each support question, create a reply draft in Gmail using @templates/replies.md. Do not send anything.
Give me a table: sender, subject, category, draft created.
  1. You:

    Run the morning inbox triage.

  2. Claude Code:

I sorted the unanswered customer emails from the last three days into the four groups and created reply drafts for the support questions in Gmail. Nothing was sent, and the table is below.

Owner check: open each draft in Gmail, edit it, and send it yourself. The connector can also send, which is exactly why the prompt says "Do not send anything".

4. Contracts and documents in plain English

Save contracts as PDF in documents/ before you ask. Claude can then quote clause numbers you can look up.

Explain a contract
Read @documents/[CONTRACT].pdf.
Summarize it on one page in plain English: what we must do, what they must do, payment terms, renewal and cancellation dates, liability limits, and anything unusual for this kind of agreement.
Give the clause number for every point, and end with a list of questions to ask a lawyer.

Owner check: open three of the cited clauses and confirm the summary matches.

5. A cash and unpaid invoices report

This report answers two questions every owner has: who owes us money, and how much came in?

Weekly cash report
@reports/raw/invoices-sent.csv lists the invoices we issued (client, number, date, amount, status). @reports/raw/bank.csv is this month's bank export.
Match payments in the bank file to invoices by amount and client name, and list anything you could not match.
Group unpaid invoices by age: 0 to 30 days, 31 to 60, over 60.
Write reports/cash-[DATE].md: money in, money out, who owes us what, and a polite reminder draft for each invoice over 30 days. Don't send anything.

Owner check: spot-check three matched payments against your bank, and read each reminder before it goes anywhere.

Your first 30 days

Add one job per week. By the end of the month you know which ones save you time and which ones you'd rather keep doing by hand.

WeekFocusWhat you doDone when
1Setup and safe readingInstall Claude Code, create the operations folder and CLAUDE.md, and ask it to summarize three documents you know wellYou trust its summaries of files you know
2QuotesAdd your price list and quote template, draft three quotes from real call notes, then turn the process into a skillYou would send a draft after light edits
3Inbox and invoicesConnect Gmail, run the triage each morning with drafts only, and log last month's invoicesDrafts need light edits and the invoice sheet matches your records
4Reports and routineBuild the cash report, then set it up as a Desktop scheduled task for Monday morningsThe report is ready each Monday without you asking

A skill is a saved procedure Claude can run with a command such as /quote; how to create a Claude skill shows how to build one. To schedule the report, open the Code tab of the Claude desktop app, click Routines, choose New routine and pick Local, as described in Anthropic's guide to Desktop scheduled tasks.

Ground rules that keep it safe

0 of 6 done

When Claude Code is the wrong tool

  • It must run around the clock. Lead capture, instant replies and syncing between apps belong on an automation platform; see AI automation for small business.
  • Your team won't open a terminal. The Claude desktop and web apps, with connectors, cover writing and research without any setup.
  • It's a one-off question. A normal Claude chat is quicker than setting up a folder.

Quick check0 of 2 correct

Claude Code drafted a quote that includes an item missing from your price list. What should it have done?

Which job should stay with you, even after the 30 days?

What to do next

Create the operations folder today, write a five-line CLAUDE.md, and ask Claude Code to summarize one document you already know well. That single test shows you how it reads, where it is precise and where you need to check.

When you are ready for the invoice and quote jobs, the Claude Code course builds an agent that sends invoices from your inbox to your accountant and drafts quotes and contracts, step by step.

Frequently asked questions

Is Claude Code an AI agent?

In practical terms, yes: you give it a goal, and it plans the steps, uses tools such as file editing, web search and connectors, and checks the results. It works inside the folders and permissions you set, so you decide how much it does on its own.

Can Claude Code work while my computer is off?

Desktop scheduled tasks run only while the Claude desktop app is open and the computer is awake. Cloud routines run on Anthropic's servers even when your computer is off, but they work from code repositories and connectors rather than files on your computer, and they are a research preview on Pro, Max, Team and Enterprise plans.

Do my employees each need their own plan?

Each person signs in with their own account. A Team plan gives every member a seat with Claude Code included, and Anthropic's pricing page lists the current seat prices.

What happens if Claude Code makes a mistake in a quote or a reply?

Nothing reaches a client unless you send it, which is why every job in this guide ends with a draft and an owner check. Fix the draft, then add the rule that would have prevented the mistake to your CLAUDE.md so it doesn't happen again.

Can Claude Code use my accounting software?

Only through a connector or MCP server built for that software, or through files you export from it. Exports in CSV or PDF are the simplest start, and you can add a connector once a workflow proves useful.
