The best AI automation tool depends on what you are automating and how much you want to manage yourself. For most small teams, Zapier is the easiest start, Make gives the most building power per dollar, n8n is cheapest for long workflows and can run on your own server, and Claude Code is best for custom jobs that no template covers.

How I judged these tools

I build automations for businesses, so I looked at what decides whether a tool still works for you six months in, not at feature counts:

What I looked at

Billing unit

What you pay per (task, credit, execution, contact), because it decides your real bill as you grow.

AI that does work

AI steps, agents and building by description, not a chatbot bolted onto the side.

Limits that bite

Free tier caps, how often workflows can run, users and run time.

Data and exit

Where it runs, whether you can self-host and whether you can leave without losing everything.

I left out enterprise suites that hide their prices behind a sales call, and developer-first platforms that assume you write code.

App coverage is the other big difference. Here is how many integrations each tool lists on its own pricing page:

Integrations each vendor lists, October 2026
  • Zapier9,000+ apps
  • Make3,500+ apps
  • Lindy1,500+ integrations
  • Activepieces760+ integrations

Each vendor's own count, from the pricing pages linked below. Vendors count integrations differently, so treat this as a rough guide.

The 10 tools in detail

1. Zapier

Zapier connects more apps than any other tool here, and its builder walks you through one step at a time. Its built-in assistant, Copilot, can set up workflows from an everyday-language description.

  • Pricing: free for 100 tasks a month with two-step Zaps; Professional from $19.99 a month billed annually ($29.99 monthly) for 750 tasks; Team from $69 a month billed annually with 25 users (Zapier pricing).
  • Best for: non-technical teams who need results today, especially with niche apps.
  • Watch out: every action is a task, so long or looping workflows get expensive, and AI steps can use more than one task.

2. Make

Make lays your workflow out on a visual canvas, with routers for branches and iterators for lists. Maia by Make builds scenarios from a conversation, and Make AI Agents is in beta.

  • Pricing: free for 1,000 credits a month and two active scenarios; Core is $9 a month billed annually ($10.59 monthly) for 10,000 credits; Pro is $16 and Teams $29 at the same volume (Make pricing).
  • Best for: visual thinkers who want branching logic without big bills.
  • Watch out: every module run costs credits, including scheduled checks that find nothing, and it runs only in Make's cloud.

3. n8n

n8n is a node-based builder with an AI Agent node, MCP support and human approval for tool calls, and it is the only big platform you can host yourself. You pay per full workflow run, so long workflows stay cheap.

  • Pricing: Cloud Starter is €20 a month billed annually (€24 monthly) for 2,500 executions; Pro is €50 (€60 monthly) for 10,000; the Community Edition is free on your own server (n8n pricing).
  • Best for: high-volume or looping workflows, AI agents and data that must stay on your server.
  • Watch out: the learning curve is steeper, and self-hosting makes updates and backups your job. The n8n pricing guide works through the real costs.

4. Claude Code

Claude Code is Anthropic's AI agent that works in a folder on your computer: you describe the job in plain English, and it writes and runs the scripts. It is the tool I reach for when no template fits, such as cleaning a messy export or processing a folder of documents.

  • Pricing: included in Claude Pro at $17 a month billed annually ($200 up front) or $20 monthly; Max starts at $100 a month (Claude pricing).
  • Best for: custom automations you own, bulk file work and small internal tools.
  • Watch out: you maintain what it builds, and your plan's usage limits apply. New to it? Start with what Claude Code is.

5. Microsoft Power Automate

Power Automate is Microsoft's automation tool. It runs cloud flows across Microsoft 365 and other apps, plus desktop flows that click through old Windows software the way a person would, known as robotic process automation (RPA).

  • Pricing: Premium is $15 per user a month, paid yearly; Process is $150 per bot a month for unattended automation; there is a 30-day free trial (Power Automate pricing).
  • Best for: businesses that live in Outlook, Teams, SharePoint and Excel.
  • Watch out: licensing is complex, and premium connectors need a paid license.

6. Activepieces

Activepieces is an open-source automation builder with a clean interface, AI agents and MCP support. You can use its cloud or run it on your own servers.

  • Pricing: free for 1,000 credits a month with unlimited flows and up to 5 users; Plus is $20 a month flat for 10,000 credits, then $0.007 per extra credit; Team is $200 a month (Activepieces pricing).
  • Best for: people who want an open-source option with a simpler builder than n8n.
  • Watch out: the catalog is smaller than Zapier's or Make's, and AI steps cost more than one credit.

7. Gumloop

Gumloop has moved from workflows to AI agents that work across your tools, for jobs like lead research, competitor analysis and content. Its classic workflow builder is now labeled legacy.

  • Pricing: Pro starts at $37 a month with 20,000 credits and unlimited seats; Enterprise is custom (Gumloop pricing).
  • Best for: teams that want agents more than fixed workflows.
  • Watch out: credit use varies with the task and the model, so test with real jobs first. The roundup of the best AI agent platforms compares it with other agent builders.

8. Lindy

Lindy works like an assistant that lives in Slack and your inbox. It drafts replies, takes meeting notes, runs scheduled routines and asks for approval before it acts.

  • Pricing: $50 of free credits that last 7 days; Team from $29.99 a month per active user for 3,000 credits each, with top-ups at $10 per 1,000 credits (Lindy pricing).
  • Best for: owners who want help with email and meetings more than a workflow builder.
  • Watch out: Lindy's own guide says a single job can use anywhere from 2 to 2,500 credits, so costs move with the work.

9. ManyChat

ManyChat automates conversations on Instagram, WhatsApp, Messenger, TikTok, Telegram, SMS and email, including the comment-to-DM flows creators use.

  • Pricing: free for 25 active contacts a month; Essential is $14 a month billed annually ($17 monthly) for 250 contacts; Pro is $29 billed annually ($39 monthly) for 2,500 contacts and adds AI (ManyChat pricing).
  • Best for: businesses whose leads arrive in DMs.
  • Watch out: the price follows active contacts, so a viral post raises the bill, and Meta's messaging rules still apply. The guide to Instagram DM automation explains them.

10. IFTTT

IFTTT connects apps and smart devices with simple "Applets": when something happens in one service, it does something in another.

  • Pricing: free for 2 Applets; Pro is $2.99 a month billed annually for 20 Applets with multi-action steps; Pro+ is $8.99 a month billed annually for unlimited Applets and AI services (IFTTT plans).
  • Best for: personal productivity and very simple notifications.
  • Watch out: it is not built for branching business processes with error handling.

Before you commit, check that you can leave

Then give your top two tools the same afternoon test:

Test a tool in one afternoon
  1. Rebuild

Recreate one real workflow on the free tier or trial

  2. Break it

Feed it messy data and see how errors are reported

  3. Price it

Multiply your monthly volume by its billing unit

  4. Exit

Check that you can export or document the workflow

Frequently asked questions

Do I need my own OpenAI or Anthropic API key to use AI in these tools?

Not always. Zapier counts AI steps against your tasks, Make sells AI usage as credits through its own AI provider and n8n Cloud can bill AI models through its own prepaid credits on Starter and Pro, while all three can also connect to OpenAI with your own key. Your own key means a second bill to watch, but more control over the model.

Is there one tool that can handle all my automations?

Usually one general platform covers most needs, plus a specialist where it matters, such as ManyChat for Instagram DMs. Running several general platforms side by side mostly adds bills and more places for things to break.

Are self-hosted automation tools safe for a small business?

They are as safe as the server they run on: updates, backups, access control and HTTPS become your job. n8n itself recommends self-hosting only for people who are experienced with servers.

Can I try these tools before paying?

Almost all of them. Zapier gives new accounts 14 days of Professional, n8n Cloud and ManyChat offer 14-day trials, Power Automate offers 30 days, and Make, Activepieces and IFTTT have free plans. Claude Code is the exception, because it needs a paid Claude plan.

How often do automation tool prices change?

Often. Make switched its billing unit from operations to credits, and Zapier moved AI steps, code and its SDK onto the same task-based pricing, so confirm on the official page before you buy. The prices in this guide were checked on October 18, 2026.
